The core details
For an ordinary supplier-issued tax invoice, clearly identify the document as a tax invoice and show the seller’s identity and ABN, the issue date, the goods or services supplied, quantity where applicable, price, taxable extent and GST payable. At a total of $1,000 or more, include the buyer’s identity or ABN.
A reference number and payment terms also make a document easier to manage. They help you connect the invoice to a quote, customer query and eventual payment. Do not confuse a helpful business practice with a complete legal checklist for every specialised transaction.
Worked example: a small design job
A GST-registered designer supplies three hours of taxable work at $120 per hour before GST. The invoice shows a $360 subtotal, $36 GST and a $396 total. “Design services — three hours” is more useful than a line that only says “work”.
Include the seller’s correct details, date and a reference such as INV-0042. If materials or other items have different tax treatment, show them separately. A clear description reduces follow-up questions when the customer reconciles their records.
Check identity and registration separately
An ABN checksum can find many typing errors. It cannot confirm that the ABN belongs to the seller or that GST registration was active on the transaction date. Use official ABN Lookup for those details.

Before you send the PDF
Read the document preview from top to bottom. Match the customer details to the order, check unit prices and quantity, confirm whether they include GST, and verify payment instructions independently. Save the PDF with a recognisable reference and keep a copy in your own records.
The browser’s print window lets you save a PDF. Turn off browser headers and footers if they add a website address or page title you do not want. Long descriptions may take more than one page, so review the print preview before saving.

Is a quote a tax invoice?
A quote describes a proposed price and scope. Use an appropriately completed invoice when it is time to request payment.
Does the tool certify an invoice?
No. It checks basic fields and arithmetic. You remain responsible for the transaction and tax treatment.
